New jobs at TechSoup: RCI Administrator and Content Intern

TechSoup is looking for a new administrator for our computer-refurbishing program. I think this could be a pretty interesting job.
Refurbished Computer Initiative (RCI) Program Administrator

(Regular, Full-Time, Exempt)

The RCI Administrator will act as a 2nd-tier point of escalation for customer problems, and as an intermediary between RCI customers and our refurbishing partner(s) to ensure that orders, product returns, and reporting are handled effectively and efficiently. Additionally, the RCI Administrator will work closely with the RCI Program Manager to identify customer issues and program support needs to improve efficiencies within the RCI program.

Major Duties:

Support the program in the following areas:

Customer Support
    • Monitor and actively work program-specific customer service queues, including but not limited to email, voicemail and telephone, answering program inquiries and other questions relating to ordering, order status, product support, and eligibility, among others.
    • Manage the RMA process for this program, including working with our refurbishing partner(s) to coordinate product returns and replacements and the TSG Backoffice group to perform necessary order adjustments and refunds.
    • Handle customer escalations using effective judgment to make decisions and function as a go-between between for the end-users and our partners.


Communication/Reporting
    • Generate and send donation request files to refurbishing partner(s) for fulfillment per a set schedule.
    • Manage and maintain spreadsheets which track product requests, RMAs, and service levels.
    • Ensure that tracking information for all orders is accurately entered into the CRM system for use by the Customer Service Department; perform audits as necessary.
    • Work with the Program Manager to develop and maintain reports using Microsoft Excel for key program metrics, including product distribution, RMAs and program SLAs.
    • Work with RCI refurbishing partner(s), as appropriate, to support order handling and customer service processes.


Program Support
    • Work with the TechSoup Stock Customer Service department to ensure that the organization qualification and payment processes are completed in a timely manner; make recommendations to manager and CS dept as needed for areas such as process improvements and training opportunities.
    • Create and maintain RCI program Admin and CSR process documentation.
    • Provide as-needed support, reference materials, and training to the TSG Customer Service Team; report assessments to manager as needed.
    • Track and provide feedback about the RCI program and customer experience to the Program Manager, and work with the PM to assess areas for improvement and implement solutions.
    • Assist with other projects as required.


Qualifications:
Knowledge

· Knowledge of TSG programs, offerings and services; and TSG operational experience highly preferred

· Knowledge of CRM and ERP and other database systems highly preferred

· Experienced in providing effective customer service through telephone calls and emails

· Interest in learning about technology products and in working in the non-profit sector

Skills

· Superior communication skills

· Proficient with software applications, including Microsoft Office and database applications

· Internet savvy and proficient with standard computer equipment, laptops, printers, scanners and current hardware technologies

Abilities

· Ability to manage multiple projects or tasks effectively

· Ability to maintain a regular schedule during peak business hours, including scheduled organizational “rest” periods

· Accurately document each customer interaction in existing client database

· Possess a high initiative and strong judgment/problem solving ability

    • Capacity to pick up, leaf through and read books, files and other materials
    • Willingness and capacity to sit/stand for minimum periods of two hours at a time
    • Capacity to reach forward to a high of 48 inches, to a low of 15 inches, to the side 54 inches and to the low side 9 inches above the floor
    • Ability to lift and/or move up to 20 pounds
    • Ability to load discs and to change settings, devices, fixtures, etc., on various equipment used in and around TechSoup Global

Work Environment:

While performing the duties of this job, the employee may be exposed to various components of an office environment such as florescent lighting, pollen, dust, recycled air, cooling fans, VDTs, semi-enclosed areas, central heating, seasonal warmer temperatures and office noise

Content Internship (unpaid)

~Part-time (10-15 hours per week; ideally on Tuesdays and Thursdays)

Internship Summary:

TechSoup Global is seeking a student intern who is interested in creating content for the TechSoup.org website, which addresses the technology needs of nonprofits and libraries globally. The content consists mainly of articles, blog posts and webinars. The main responsibilities of the intern will be to organize and coordinate webinars by contacting speakers, scheduling conference calls, creating online registration, promoting and facilitating. They will need to compile data and conduct necessary follow-up. The intern will also write and publish blog posts on technology topics as needed, as well as help advance the content team’s strategy for increasing blog readership.

Internship Qualifications:

Education and Experience

Any combination of education and experience providing the skill and knowledge for successful participation and learning in the internship would be qualifying. Typical qualifications would be equivalent to:

    • Marketing, Communications, English, or Education

Knowledge, Skills and Abilities

Knowledge:
    • Social networking and non-profit knowledge preferred.

Skills:
    • Microsoft Office
    • Diplomacy and teamwork.

Abilities:

    • Ability to communicate effectively, both orally and in writing.
    • Ability to interact in a professional manner with a wide variety of people.
    • Ability to attend events in the Bay Area, as assigned in advance.
