After having obtained community moderator approval, I’m excited to bring EXCLUSIVELY to
kuroganefai the first huge members-only contest (of which I hope there will be many). I’ve helped to run big annual contests over at
ichi_ruki and they’ve been so successful there in producing amazing fanworks and community spirit that I wanted to start the tradition at
kuroganefai as well. So then, I did…
Announcing the big, fat, FAIR
kuroganefai community contest! (Or at least the intent of such this summer; I need input from the community first before I complete the planning.)
ATTENTION: All fanficcer’s, fanartists, vidders, graphic manipers, layout designers, cosplayers, other fanworkers, and heck, even the person that made a TRC-related quilt, as well as NON-FANWORKS MAKERS, LIKE COMMENT-ERS, BETAS, DONATORS, ETC… (yes, all
kuroganefai members can participate!): this is your chance to help shape this contest into one that YOU would enjoy.
This is the planning post. I’m going to ask for community input and help on the following topics: rules, themes, donations (mailing costs, extra prizes -I’ve already purchased six doujinshi just for this contest + current donations put us at double that number of prizes), help running this whole schbang, and any other comments/input about anything I’ve forgotten to address. Topics cut below for your flist scrolling convenience.
Rules: who, what, when, how and why winners (that’s why)
1. Who can participate?
Ideally, I want everyone that is currently a
kuroganefai member or that becomes a member during the contest (hey, the more the merrier) to be eligible to participate.
• ALL FANWORKS: I propose that this contest be wide open in terms of the types of fanworks eligible to be entered and not limited to just fanartists and fanficcers.
• ALL CONTRIBUTIONS TO FANDOM: As well, there are people that don’t produce fanworks, but they contribute to our fandom all the time: betas and people that take the time to comment on fanworks are just two of the groups that are often excluded from contests --they won’t be from this one (and if you can think of other ways of participating, tell me, so these contributions can = entry into the contest). People that enter a fanwork (1st way to enter listed above) cannot qualify for a second entry under this category.
• DONATORS: I’ll be asking community members to donate if they can (no pressure, you don’t need to donate in order to enter the other two ways listed above, nor does it effect whether this contest will be run -it IS ON this summer!). I ask because I could use some help with prize mailing costs and to offset some of doujinshi costs. Donators will be placed in their own separate draw AND they are eligible for a second entry into the contest in one of the other two ways listed above, giving them two chances at the grand prize!
• WINNERS/PRIZE FAIRNESS: There will be both screened comment votes and draws to determine prize winners. For the fanworks (like fanart/fanfiction), I will divide all entries into two broad categories: READ IT and WATCH IT. This is because it’s difficult to compare things like fanart and fanfiction directly. Tentatively, READ IT would include all fanfiction of any length or form (poems, essays, pairing manifestos, and songs with lyrics, uh, etc…) and WATCH IT would include all fanart and anything you can ‘appreciate without having to read extensively’ (fanart, doujinshi -traditionally considered a fanart domain because, potentially, you could appreciate it without reading-, graphic manip, layouts, videos -a bit of text is fine, music without lyrics, crafts, cosplay, etc…). For non-fanworks contributions (like comment-ers, betas) and donators, which cannot be voted upon due to difficulty in establishing fair judging criteria, there will be two separate draws to decide winners. The draw prize winners are equivalent to 1st prize fanworks winners and will have an equal chance at the ‘grand prize.’
2. What counts as an entry?
• Entries must comply with contest rules, including formatting/tagging/etc... All fanworks, non-fanworks contributions (like betas) and donations are valid for entry. Let’s discuss each separately, below:
• FANWORKS: All fanworks that can be shared on LJ (links, pictures, posted, etc…) AND that conform with community and LJ rules. You can only have one fanworks entry and it must fall into one broad category: READ IT OR WATCH IT. For any ambiguous entries that aren’t slotted into one of the broad categories by the contest rules (I’ll be as explicit and inclusive as possible), the poster may pick their broad category when the entry is posted.
• NON-FANWORKS CONTRIBUTIONS (BETAS, COMMENT-ERS): For comment-ers, we’ll set a ‘comment number’ (around 10?) that must be reached in order to qualify as an entry. Comments must be meaningful (not just ‘thanks’ or ‘good job’) with a minimum of 3 sentences/25 words, whichever comes first. All comments must say something good about the entry, and may also include a constructive criticism on top of the ‘good’ -but no harassment or flames that are breaking community rules. There will be a post for comment-ers to reply to with links to 10 of their ‘meaningful’ comments so I can check and include them in the draw for a prize. For Betas, there will be a post for you to reply to with a link to the contest entry you have beta’d, and as long as you are listed as the beta by the contestant on their entry (according to format rules), this counts as entry for the prize-draw.
• DONATIONS: [First of all, donations and the contest budget will be posted on the community. Donations will be listed on that post as they come in, and identified by donator name or an ‘identifying’ number I will assign if the donator wishes to remain anonymous. I think this is the fairest way to ensure the community that their donations are being honestly handled.] One entry per donator, however, donators are the only group that can enter the contest twice: one donation entry + (one fanworks (fanfiction/fanart/etc…) OR one non-fanworks contribution (beta/comment-ers)). All donators will be added to the special donators’ draw unless they ask not to be added.
3. When is the contest being held?
• It can be anytime this summer, and from my experience, mid to late summer is when most people have the free time to create entries. The mods and I will discuss a few time-slots (4-6 weeks for entries to be finished) and allow the community to vote to decide which time slot suits the community members best. All donations will be accepted up until the end of the contest, although early donations are much appreciated as they give me time to acquire more prizes (many shipped from Japan, or through ebay). Lastly, for the screened votes in the fanworks categories, there will be a 'community locked post with screened commenting enabled' posted once the contest entry deadline is reached, and community members will have 1 week to vote for the winners. The draws will be held at the same time and all winners announced together at the end of that voting week.
4. How is the contest being run?
• RULES: There will be a general set of rules, such as entry formats, following all the community rules, possible theme, start and end dates, etc… The mods agreement will be requested for all the rules before they are posted on the community. Much of the feedback on this post will be factor directly into the planning of the rules.
• MODERATION: The mods and I will moderate the contest to ensure it runs smoothly by answering questions, checking that rules are obeyed, and to tabulate the screened vote/do the prize-draws. I’ll be mailing the majority of the prizes.
5. Tell me about the prizes and how you’ll reward them.
• PRIZES: So far I have six different doujinshi -two English doujinshi, four Japanese doujinshi (all translated/scanlated already on LJ, I picked carefully -see the last paragraph of this post for links to pictures and descriptions) + MANY donated doujinshi + an offer to buy a new TRC artbook for a winner- and I’m strongly eyeing another TRC artbook (this really depends on if I can muster donations towards mailing costs as they are HEAVY). Depending on donations, I’ll also consider deluxe hard cover TRC volumes (Japanese language, and so, so luxurious), grab-bag prizes like key-chains and little figurines and stuffies, and other doujinshi or prizes by request. I live in a large city, so I have very good access to Japanese anime & manga stores. So far none of the doujinshi I picked are Adult -but if such a doujinshi is donated, only someone 18 years old or older AND legal to view such material will be given that kind of prize (you will have to make a statement to that effect in an email). Yes, there are a lot of prizes -it’s a big, fat contest and there are lots of chances for people to win a prize.
• HOW ARE THE PRIZES DISTRIBUTED? There are four separate voting/draw pools to win a prize: (1)prize-draw for donators (2)prize-draw for non-fanworks (betas, etc) (3)screened vote for fanworks READ IT (4)screened vote for fanworks WATCH IT. The draws will have one winner each (two total). The screened votes for fanworks in both the READ IT and WATCH IT categories will have prizes for 1st to 3rd place, each (six total). This means there will be 8 winners in total. I know that there could be people that want to enter but that already have some of the doujinshi/prizes I’m offering, so to be fair, I’m not going to set a specific prize to any of the draws or votes but rather let winners pick their prize. There will be an order to this prize picking so as to avoid chaos. I’ll write the four pools on scraps of paper and draw them, and the order that I draw the papers will determine the order that the prizes can be picked. If a screened-vote category gets drawn, then the 1st place winner of that category will get to pick first. I will not add that particular screened-category back to the draw until the other category is also drawn and its 1st place winner is given a pick (so that way, it will always be both 1st, then both 2nd then both 3rd places drawing in that order -it’s just which category goes first that changes) . If it doesn’t make sense, I can try making a graphic to explain it and link to it. This all means that the donator pool and the non-fanworks pool winners have an equal chance as the 1st place winners of the fanworks screened-vote to pick the first prize from the eight prizes available (ie: the ‘grand prize’). This is the fairest way I can think of to do things and it gives people the best chance of picking a prize they want instead of getting ‘stuck’ with something they don’t want or already own.
Themes: inspiration, challenge or unwanted restriction?
Most important to me is that everyone has a chance to enter this contest, so there will be no REQUIRED themes as this is restrictive to some people. However, I am open to providing a list of ‘inspiring themes’ if the community provides them in the comments.
Donations: Help make this contest better and get rewarded!

1. If I send you money/prizes, I want to know how it's being used....
• Again, I'll be making a post just for the contest budget and donations. In this post, I'll list my costs so far, projected mailing costs, and the costs of any prizes yet to be purchased but requested by members. I'll also list each donation, easily identifiable by the donator because it will be listed by either name, or if anonymous, by an assigned number. The assigned number is unique and will be mailed to the donator as well. All donators receive a thank you email from me to show the community appreciation for the support and as proof of donation. Any disputes about donations can be brought up to the mods since everything will be clearly stated and public on that budget/donations post. As well, I've helped run a large community contest on
ichi_ruki, purchasing prizes and mailing them reliably, so my personal integrity with respect to donations for the community contest prizes can be vouched for throughly. A moderator has already checked my references with respect to this community.
2. What can I donate and how do I get it to you?
WHAT: You can donate (1)Prizes (2)Money.
HOW: For donated prizes, you can send me new or 'excellent condition' items relating to kurogane/fai/yuui, including but not limited to doujinshi, stuffies, the TRC artbook, figurines, and high-quality fan-made items (last year, the top prize in ichi_ruki was two fan-made swords that were superbly fashioned). (1)You can mail these items to me directly (I will provide a PO box address -please don't abuse it, folks) or (2)you can purchase these items online and have them mailed to me (sometimes you can get free shipping that way) or (3)you can have them mailed to yourself and offer to pay to have your donated prize mailed to the winner at the end of the contest. If you chose to mail the item yourself, please be sure you can afford to mail the prize to an international winner and that you can do it in a timely manner (within a week). I would hate to have any disappointed winners without promised prizes. For money donations, you can send me concealed cash, cheques or money orders cashable in Canada (I may be able to work something out for US cashable cheques/money orders), again, to my PO box. Don't abuse it, please. You could also offer to buy LJ-bucks for a winner, but please make sure you will be able to do so before making this type of donation. I don't want disappointed winners. I'll have to see if I can accept something through paypal.
REWARD: You will be added in an exclusive (usually small) donators-only prize-draw to win one of the contest prizes yourself. As the donators-draw winner will be pooled with the other 7 winners for the second draw to determine the order winners can pick their prizes, you could potentially get to choose whatever prize you want (ie: 'grand prize'). On top of this, you will be allowed to enter the contest in one of the other 3 entry pools (fanworks WRITE IT or fanworks WATCH IT or non-fanworks contributions), so you have TWO chances to win a 'grand prize'. It's really not expected (and never happened to me before, I'm expecting to foot most of the bill for this contest), but if the donations reach the budgetary needs (including projected mailing costs, purchase of requested prizes for the prize pool), then I will have to cut off donations and ask all other donators wait until another contest. I don't plan on holding onto 'extra money' for any purposes as it doesn't feel ethically proper.

Comment here and we'll chose a few people to help. In particular, it would be nice to have someone to keep track of entries, ensure people are properly tagging and using contest format, reporting any cheating or rude/flamey behaviour, etc... especially, if the mods and/or myself get too overwhelmed. I can't guarantee to involve everyone that volunteers as there are only so many roles needing filling. If you are selected to volunteer, I will consider this a 'non-fanworks contribution' and you will be entered into the 'non-fanworks contribution draw-pool' if you want -you can elect to not be in this pool if you want to enter one of the fanworks pools instead. None of the volunteers will given moderator privileges and so none of the volunteers have access to the screened votes.
So folks, that's the contest planning in a -rather stuffed- nutshell. Please comment with your ideas/suggestions, concerns and criticisms.
