After signups close, I'll run AO3's automatic matching algorithm. You will be assigned a recipient, for whom you'll create a fanwork, and an author or artist, who will create a fanwork for you. You'll get an email with the details of your recipient's request, but you won't know who is assigned to fulfill your request.
How does matching work?
AO3 has an automatic matching algorithm that will check all the requests and all the offers and try to find one recipient and one creator for every person who signs up.
You can be matched on someone’s request if one of your offers contains all the characters in that request, plus the medium they chose (Fanfiction or Fanart).
For example, if I offered Fanfiction and offered the characters Nahuseresh, Agape, Eugenides, and Eddis, I couldn’t match on any of the requests
in this scenario, and I wouldn’t be assigned to that person. If I offered Fanfiction with the characters Nahuseresh, Akretenesh, Eugenides, and Eddis, however, I could be matched to that person.
How long does matching take?
That depends! In a small exchange like this, it shouldn’t take long to run the algorithm. AO3 may not be able to figure out all the matches automatically, however. If I need to do some manual matching, or if anyone isn’t matchable on their offers or requests, that could take a few days to resolve.
Do I have to write or create art for the specific request I matched on?
No, you can pick any of your recipient’s requests, as long as that request appears in your assignment. For example,
if I was matched to the person in this scenario, I could choose to write a story featuring both Nahuseresh and Akretenesh, or I could choose to write a story featuring both Heiro and Agape, even though I didn’t offer Heiro.
I could not write a story only about Nahuseresh, though, because request #2 is for Fanart, not for Fanfiction.
What exactly am I signing up to do?
By signing up, you agree to fulfill any one of your matched recipient's requests by the fanworks due date of June 12th, 10 PM EDT.
If the request is for fanfiction, you will write a complete, standalone story of at least 500 words, featuring all the characters specified in that request, and post it to this collection on AO3 by the deadline. If the request specifies a Do Not Want list, you must respect it.
If that request is for fanart, you'll produce an original illustration measuring a minimum of 500 by 500 pixels, featuring all the characters specified in that request, and post it to this collection on AO3 by the deadline. If the request specifies a Do Not Want list, you must respect it.
The exchange is anonymous until the author/artist reveal date of June 26th, so until that time, you shouldn't make any public posts that could tell someone which of the works you created. After that time, you can feel free to link to your work or repost it on any platform you like.
What if I'm not sure I can fulfill those requirements?
If you're not sure you can commit to the requirements and deadline, there are other ways you can participate. If I'm not able to match everyone to an author or artist, or if someone drops out of the exchange midway, I'll be sending out that person's requests as a pinch hit. Anyone can offer to fulfill a pinch hit request, even if they aren't signed up for the exchange. Pinch hits are subject to the same requirements as regular signups, so they need to be posted by the fanworks deadline of June 12th.
You can also participate by "treating" participants with extra gifts! After assignments are out, I'll be making the full list of requests public. If any of them catch your eye, you can jump in and produce a fanwork for the exchange, no signup required. You can post treats up until the fanworks are revealed on June 19th.
Finally, you can participate by offering your services as a beta for either fanfiction or fanart.
What if I'm interested in creating different types of fanworks?
While I was gathering interest in this exchange, one or two people expressed an interest in creating fanvids, icons, or songs. Because this is my first time running an exchange, and because it's a bit harder to create requirements when you're dealing with multiple types of fanwork, I decided to limit the inaugural round of the exchange to fanfiction and fanart.
If you see a request that gives you ideas for other types of media, though, you can still offer it as a treat! Keep in mind that some types of fanwork aren't accessible to or appreciated by everyone, however--for example, someone with a vision impairment may not be able to enjoy visual works, and not everyone may have a need for icons. If you'd like to give someone a different form of work and want to check that they're interested, you can email me at hamiathesmod@gmail.com, and I can reach out to that person on your behalf.
