collection cateloging

I have a question for you guys.(because you are always so awesome in the whole good advice category) How meticulous are you about tagging and cataloging your collections? I am wanting to keep mine cataloged as well as I can. One day if something happens to me I want it to be all set up for when it is given to the museum. One of my problems is that

You can use a zoological or botanical key to ID some things. For eggs or feathers try a field guide?

what do you mean by zoological or botanical key? ( I am new to some of this) and thank you so much for the kind words about my collection photos! the crazy thing is ( and this happens every time photo's are taken of my collection) I always have this big boom in my collection. I will not get anything really new in months and as soon as photos are taken, my collection will like double! So I have to update some photos, because I have gotten some very interesting new things.
